Planning Guide

I. Reserve the Room
Contact Kathy Gill in Special Events at 574.372.5100, ext. 6501. Please remember to block enough time for proper set-up of the room by the maintenance and catering departments.

IV. Menu Planning
Contact the Catering Service at least 10 days in advance of your event by calling 574.372.5100 x6040. Please be prepared to provide the following information: date, time, location of event, group organization, type of service, and estimated count. Events planned with less than 72 hours notice will be subject to additional charges and menus will be based on availability.

V. Guaranteed Number of Guests
When you place your food service order, you will be required to give an approximate number of guests. We request your guaranteed guest number 72 hours prior to your event. This number is the minimum number billed for your function. You may add guests at anytime; however, we may only be able to accommodate up to 5% additional within 72 hours of the event. Please work closely with the catering office on these needs.

VI. Cancellations
To avoid any charges, cancellations must be made at least 72 hours prior to the event. Any charges due to cancellations within the 72 hours will be determined by expenses already incurred. Obviously, this will be done on an individual basis.

VII. Additional Charges
Due to varying levels of service required by our customer and clients, occasionally it is necessary to charge for additional service:

  • Prices in this manual are based on events between 7:00 a.m. until 8:00 p.m., seven days per week while classes are in session. Functions that take place outside these times will have to be considered on an individual basis.
  • Some sites are difficult for food and equipment delivery. Lack of running water can also cause difficulties. Events scheduled in such locations will be considered on an individual basis.

VIII. Decorations
If floral centerpieces or other decorations are requested, there will be an extra cost. These additional charges will be confirmed prior to the event. If you would like to decorate your own tables just let catering staff know when ordering.

IX. Linen
There is a limited choice of colored napkins and white tablecloths for your event when scheduling your food 10 days in advance. Samples of the napkin colors can be seen in the catering office. There will be a charge for the tablecloths ordered for other than food or dining tables. If your event requires special linen colors or sizes the cost will be added to the final invoice total.

X. Carver’s and Event Host
This service is available for a minimum charge of $50 for a four hour block for each employee.
